NOTICE ON PERSONAL DATA PROCESSING FOR CANDIDATES
Effective from 12 May 2025
In connection with your application submitted to GaneshAID, GaneshAID – as the Data Controller – will collect, process, and store your personal data. Therefore, please read the following information carefully to understand how we process your personal data.
“GaneshAID” and “we” as used in this document refer to GaneshAID Consultancy Company Limited, a company established and headquartered in Vietnam, with enterprise registration number 0106173443.
If you choose to submit your application to GaneshAID, you will be required to consent the following:
- Purpose of collecting and processing personal data
- Conducting interviews;
- Conducting tests and assessments to determine your suitability for the position;
- Communicating with you throughout the recruitment process, including requesting additional information when necessary;
- Performing background checks and verifying your education, previous employment, and references;
- If you are hired by GaneshAID, we will use your personal date to fulfill our obligations under the contract between you and GaneshAID, as well as in accordance with applicable laws during your working period and after termination;
- If you sign a contract with us, your application may be used for future project staffing purposes;
- Retaining your information to build and manage a pool of potential candidates for GaneshAID’s future recruitment needs;
- Notifying you of job opportunities and updates in the future.
If you consent to the processing of your personal data for the above-mentioned purposes, we may also use such data to protect our legitimate interests in the event of any dispute arising from the recruitment process.
2. Personal data we process
To fulfill the purposes mentioned above, we may collect and process the following types of personal data:
- Full name;
- Date of birth;
- Personal identification number or government-issued ID number;
- Residential address;
- Email address;
- Phone number;
- Portrait photo;
- Information related to your education, employment history, and any other details you provide in your CV, diplomas, or other documents;
- Contact details of your referees;
- Test results and internal evaluations conducted during the application process.
3. Personal data we process
Your personal data is collected from the following sources:
- Information you directly provide to us or to our recruitment partners;
- Information provided to us by your referees.
- Publicly available information on your personal social media accounts (e.g., LinkedIn).
4. Parties with whom your personal data may be shared
To fulfill the purposes mentioned above, your personal data may be shared with:
- GaneshAID personnel directly involved in the recruitment process;
- GaneshAID’s affiliated entities, both within and outside the territory of Vietnam;
- Service providers of information technology and data storage engaged by GaneshAID;
- In the event you enter into a contract with us, your personal data may be shared with our clients for the purpose of project staffing.
5. Transfer of personal data outside of Vietnam
Your personal data may be transferred outside the territory of Vietnam or made accessible to recipients located in countries outside of Vietnam, if necessary to serve the purposes mentioned above.
This may occur, for example, when our data storage and processing services provider is headquartered or has servers located outside of Vietnam, or when our affiliated entities and/or clients are based outside of Vietnam.
6. Retention period for personal data
When you submit a job application to GaneshAID, we will retain your personal data for as long as necessary to fulfill the purposes outlined in this Notice and/or in GaneshAID’s Personal Data Protection Policy applicable to Staff (if you become a staff member of GaneshAID).
Where required by law, GaneshAID may retain your data for a longer period than the retention period set out in its data retention policy.

As a data subject, you have the following rights:
- The right to be informed;
- The right to consent;
- The right to access;
- The right to withdraw consent;
- The right to erasure;
- The right to restrict processing;
- The right to provide personal data;
- The right to object to processing;
- The right to lodge complaints, denunciations, or initiate legal proceedings;
- The right to claim compensation for damages;
- The right to self-protection.
Please note that if you exercise your right to withdraw consent, request erasure of your data, or object to the processing of your personal data, your application will be considered withdrawn, and you will no longer be regarded as a candidate in the current process. Any data processing carried out prior to the withdrawal of consent remains lawful. Furthermore, the withdrawal of consent does not prevent us from continuing to process your personal data if such processing is based on other valid legal grounds.
8. Possible unintended consequences and damages
GaneshAID implemented various necessary and appropriate measures to protect your personal data, including organizational and technical safeguards. However, due to both subjective and objective reasons, no data can be guaranteed to be 100% secure.
Possible unintended consequences and damages may include: (i) Loss of personal data; (ii) Unauthorized or illegal disclosure of personal data; (iii) Data subjects may fall victim to phishing attacks, identity theft, or similar incidents,…
Please note that we make our best efforts to safeguard your personal data, and such incidents are not what we intend. In the event of a data breach, we will handle the matter in accordance with applicable laws and regulations.

We reserve the right to amend, supplement, or update this Notice from time to time. The latest version will be published on our website. You are encouraged to regularly check for the most recent version of this Notice as well as any other policies, notices, or announcements we may send you or post on our website.
